For a great many Pakistani businesses, WhatsApp is not a support channel — it is the sales channel. Orders are placed on it, appointments are booked on it, prices are negotiated on it, and complaints arrive on it.
It is also, in most businesses, the least managed part of the operation: one number, one handset, one person, and no record of any of it. This guide covers how to fix that without getting your number restricted along the way.
Business app or Business API?
This is the first decision and the one most often got wrong.

The practical test: if more than one person needs to answer, or if you want messages triggered by something happening in another system, you need the API. Everything else in this guide assumes it.
The rules that trip people up
The 24-hour window
When a customer messages you, a customer service window opens. Inside it you can reply freely with any content. Once it closes, you can only reach them with a pre-approved message template. This single rule causes more confusion than anything else in WhatsApp business messaging.
Templates need approval
Templates are submitted to Meta and reviewed. They are categorised — utility, marketing, authentication — and the category affects both approval likelihood and cost. Utility templates (order updates, appointment reminders) are approved readily. Marketing templates get more scrutiny.
Opt-in is mandatory
You must have permission to message someone. A phone number collected at checkout is not automatically permission to send promotions. Collect consent explicitly, record when and where you collected it, and honour opt-outs immediately.
Quality rating
Meta tracks how users respond to your messages. Blocks and “report” taps lower your quality rating, which reduces your messaging limits and, if it continues, gets the number restricted.
Importing a customer list and sending a promotional blast. Recipients block, quality rating collapses, the number is restricted — and because the number is the business, the damage is far larger than the campaign was ever worth.
What to automate, in order of value
Instant acknowledgement
Every inbound message gets an immediate reply confirming receipt and setting an expectation. Cheapest possible build, and it changes how responsive the business feels from the first second.
Order status
Customer sends an order number, the bot returns live status and tracking. Typically the single largest category of inbound messages for any online seller.
Appointment confirmation and reminders
Confirmation at booking, reminder the day before, an easy reschedule path. Direct, measurable revenue recovery for clinics, salons and studios.
Cash-on-delivery confirmation
Confirm the order before dispatch. Reduces refused deliveries, which is margin protection rather than a convenience.
FAQ handling
Hours, location, delivery areas, prices, policies — answered instantly, consistently, in English or Urdu.
Lead qualification
A few structured questions before handing to a person, so the human conversation starts with context instead of gathering it.
What not to automate
- Complaints. An automated reply to an angry customer reliably makes it worse.
- Refunds and exceptions. Money decisions need a person, always.
- Negotiation. In a lot of Pakistani categories, price discussion is a relationship activity and automation reads as dismissive.
- Anything you cannot undo. If the bot being wrong creates an obligation, it should not be the bot's decision.
- Pretending to be human. It works for about two exchanges, then costs more trust than it ever saved.

For a business currently paying someone to answer routine messages, the arithmetic is usually straightforward. For a business sending a few hundred messages a month, it may not be worth it yet — and we will say so.
Getting set up without stalling
Prepare business verification properly
Meta requires a verified business with matching legal details, a website and consistent information. Most self-serve attempts stall here, usually over a detail mismatch.
Choose the number carefully
A number already registered on the consumer or Business app must be migrated, not just re-registered. Decide whether you are migrating your known number or starting a new one.
Write templates that pass first time
Clear, utility-framed, no promotional language in a utility template. A rejected template costs days of back and forth.
Build the escalation path first
Before the automation, decide how a customer reaches a human and how fast. That path is what makes the automation acceptable.
Integrate, then train
CRM, store and booking connections, then train the team on the shared inbox and assignment rules.
FAQs
Can I keep my existing WhatsApp number?
Usually, but it has to be migrated properly off the consumer or Business app — you cannot run both on one number. Plan the switchover rather than discovering it mid-setup.
How do I collect opt-in legitimately?
An explicit checkbox at checkout or enquiry, a keyword opt-in, or a clear statement at the point of collection. Record when and how, because that record is what protects you.
Will automation get my number banned?
Automation will not. Messaging people who did not opt in will. The restriction follows recipient behaviour — blocks and reports — not the presence of a bot.
Can it handle Roman Urdu?
Yes, and it should, because that is how a large share of Pakistani customers type. A bot that only handles formal English will fail on most real messages.
How long does setup take?
Two to four weeks in practice. Meta's business verification is the variable, and preparing the documentation properly is what avoids the usual rejections.
